Summer has just begun, and you are already dreading the period that will follow your vacation: the time when you will have to design your IT budget. Because every time, it's the same thing: you pull out the Excel spreadsheet, you sit in front of your project portfolio... and you try to fit circles into squares, knowing very well that your budget is not realistic.

Because the governance of a company's transformer is not as strict as a budget line, we decided to give you some food to chew on this subject as of today. A new way of budgeting IT projects is possible - we promise you it!

How much time do you spend viewing the tasks in your teams' project management tool? Probably too much time. As a CIO or CTO, you are a member of the Codir - so you shouldn't spend such a significant amount of time getting into the micro of your projects on Jira, Asana, or Monday.

Our position : Ask your IT project managers to provide you with a regular summary of the progress of your projects. After all, as a member of the Codir, you too must keep a really macro vision! The objective is to limit the time you spend observing the microphone, to simply get an idea of the governance of the various projects - but also to save time, by sending this summary directly to your decision-makers.

  • Project managers don't have time to produce these kinds of summaries., since they are focused on the operational side. And besides, that is not their role.
  • If you don't get into the microphone a bit, you don't really have a vision of the progress of projects. Macro and micro are essential for real governance.
  • There is no question that I send to the Codir a summary that I did not create myself! After all, I have the best vision of all the projects.

  • A summary created by operational IT will necessarily be more relevant than a point on Jira made by the CIO. Project managers have their hands in the mud every day, they know what elements to highlight from these reports.
  • It's a real time-saver for me, CIO. And I'm already running out of time: I might as well save it, and spend it on tasks with higher added value!
  • It is interesting to train IT project managers at this level of reporting.. They then manage to better visualize their projects themselves, and gain in performance in their project management.

“The IT budget is a lie: it is absolutely necessary to challenge the traditional way of doing things, which is too complex, and too poorly adapted to agile working methods.”

The word “budget” is enough to make more than one CIO shiver. Faced with your management who always requires precise IT budgets, many of you end up writing obscure documents, with margins of error of 45% at each line... only to finally realize that this forecast is completely unrealistic, as projects move, change, mutate, so much so that projects move, change, mutate during the year.

It is crucial to change the way you think about an IT budget! To start challenging this dusty vision of the budget, consider in particular to propose a budget for the quarter, divided according to the priority projects that you will tackle over the following period. You can then refine this budget in agile mode by sprints.

Another piece of advice: only commit to 80% of your abilities this quarter. It is better to anticipate the unexpected than to have to explain them a posteriori !
